Office Manager & Executive Assistant

We’re looking for an experienced and effective Office Manager to join our award-winning marketing agency in Histon, Cambridge.  The role can be full time or part time with a minimum of 20 hours per week worked over at least three days.

The Office Manager & Executive Assistant role

The Office Manager has overall responsibility for a number of operational and administrative functions with the aim of maintaining and improving efficiency and productivity of the business.  The role is pivotal to the success of the company, providing solid operational support, requiring a helpful, friendly personality who acts as a lynchpin for day-to-day office activities and team interactions, but also an uber efficient, highly organised approach to ensure smooth operations coupled with financial monitoring and reporting.  The role includes activities such as Health and Safety management, HR documentation and ad hoc assistance to the team  on supportive administrative tasks.

The Office Manager role is diverse and requires a range of skills including excellent organisation, an eye for detail, good numeracy, interpersonal skills and strong communications for staff engagement.

Successful candidates will:

What will you do?

Office responsibilities 

  • General company administration support 
  • Support general office management, check stationary/orders and equipment supplies
  • Perform receptionist duties: answering the phone, taking messages, filing mail processing and office cleanliness and presentation
  • Answer general emails and postal correspondence with customers and suppliers  
  • Dealing with incoming & out going post 
  • Provide administration support for H&S risk assessments and updates (via online system)
  • Book travel across the team for client meetings, shows and conferences 
  • Book catering and meeting venues
  • Negotiate and manage office insurance contracts 
  • Negotiate and manage new and existing office supplier accounts and contracts
  • Manage office journal subscriptions to magazines and online resources
  • Manage office journal library  
  • Monitoring and management of team birthdays and celebrations
  • Booking of team socials and activities 
  • Booking of team training and offsite events.

HR responsibilities

  • Be the point of contact for the team for any HR issues or queries
  • Act as the liaison for our outsourced HR providers
  • Assist with the maintenance of staff personnel files
  • Manage and circulate updates of company handbook, contract updates etc when required
  • Assist with recruitment of staff and maintenance of personal files & benefit plans
  • Compile new starter packs and manage the company induction process
  • Support HR administration tasks including holiday requests and bookings (via HR online)
  • Support the management of absence record keeping 
  • Book team training and manage logistics based on an allocated budget
  • Assist with the management and set up of new appraisal system via TrakStar.

Accounts responsibilities 

  • Daily updates of bank fees into Xero
  • Reconcile all accounts at least twice a week
  • Reconcile supplier statements and solve invoice queries 
  • Record and upload supplier invoices to Xero
  • Set-up client sales invoices, using account team spreadsheet
  • Reconcile all payments/transfers from bank accounts (including two foreign currency accounts)
  • Process and upload personal and petty cash expenses across the team (GBP & foreign currency)
  • Process and upload credit card statements and transactions as expenses
  • Provide monthly reporting against budget for cash flow purposes
  • Manage payroll data for submission to Payroll provider.

Executive Assistant responsibilities

  • Provide executive assistance to the management team including appointment setting, calendar management, travel arrangements, and correspondence
  • Assist in board and founder relations, including scheduling, document preparation and logistics for board meetings
  • Process Director expenses and reimbursement claims
  • Coordinate staff meetings, take and disseminate meeting notes.

Inbound Marketing Account Director

About you

Ideally, we are looking for someone with the following:

  • A diverse, deep and demonstrable knowledge of inbound marketing.
  • The ability to quickly diagnose the challenges being faced by a client, drawing upon the full inbound marketing mix to suggest solutions via the development of inbound strategies (and associated tactical plans)
  • Over 7 years of experience working as a marketer (ideally with some of that experience in a marketing agency).
  • Experience working as a line manager to coach and develop direct reports.
  • A positive, proactive attitude and someone who will thrive on the chance to take our inbound department to the next level.
  • Experience working in the life science market is preferred but not essential.

What you would do at BioStrata:

  • Work as an Account Director across several inbound clients, supported by a team of Account Managers and Account Executives.
  • Interpret the business challenges faced by BioStrata’s clients (for example, bottlenecks in their marketing and sales funnel) and then make recommendations to solve these issues.
  • Create integrated inbound marketing strategies and plans that are targeted to these needs and objectives, applying an in-depth knowledge of inbound marketing tactics to select appropriate activities and channels that deliver results.
  • Manage and execute against plans by briefing and working with our specialist executional writing, design and development teams to deliver results, on deadline and on budget.
  • Review content, assets and deliverables to ensure they are of high quality, effectively meet or exceed the brief and effectively communicate key client messages.
  • Build client relationships, manage projects and effectively communicate expectations, plans and results across the combined agency-client team.

Senior PR Account Manager

The Senior Account Manager role at BioStrata

Ideally, we are looking for someone with:

  • At least 4-5 years of experience working in a marketing or PR agency in the area of life science (including healthcare, pharma & biotech)
  • A strong working knowledge of the life science media, including the publications, editorial contacts and journalists that are important to our clients.
  • Previous experience working with clients that operate globally including creating, managing and executing PR programmes that deliver results.
  • Experience with reviewing PR and project materials produced by the team (e.g. press release, articles, media pitches, metrics reports etc.), providing insightful QA and QC input
  • A positive, proactive attitude who thrives on taking responsibility and accountability.
  • A scientific background e.g. BSc or PhD in a biology-related subject (preferred but not essential).

You would be responsible for:

  • Writing proposals and creating PR plans that are creative, impactful and help our clients achieve their goals
  • Managing the execution of these PR plans, working with dedicated team members to support you.
  • Reviewing content, assets and deliverables to ensure they are of high quality, effectively meet or exceed the brief and effectively communicate key client messages.
  • Building client relationships, managing projects and effectively communicating expectations, plans and results across the combined agency-client team.
  • Growing and building great relationships with the life science media through eloquent pitching and narrative creation
  • Representing and supporting clients at international life science tradeshows, including facilitating media meetings
  • Nurturing junior team members, helping them to develop the skills necessary to be an industry-leading PR professional
  • Working with the leadership team to uncover novel ways to support our current and future clients by suggesting innovative marketing communication solutions to help them further improve results over time

Public Relations Executive

We’re looking for a Public Relations (PR) Executive to join our growing PR team and award-winning marketing agency in Histon, Cambridge.

As a member of a bustling, progressive marketing agency you will have access to a broad array of expertise to further build your science communications and PR skill set. The PR Executive role

This entry-level full-time role is perfect someone looking to enter commercial scientific communications, with a particular interest in commercial story-telling and public relations. Ideally, you would:

  • Have a life science degree (BSc) e.g. biology, biotechnology, chemistry etc.
  • Have exceptional organisational and time-management skills
  • Have exceptional written and spoken English
  • Be comfortable conducting daily email and phone communications with clients
